Melcore Auto Transport LLC ("Melcore Auto Transport", "we") arranges nationwide vehicle transportation. We secure your vehicle a place on a vetted, FMCSA-authorized carrier's trailer and manage the shipment from pickup through delivery. This policy explains what you pay, when it is refundable, and how to request a refund.
1. What you pay, and to whom
There are two separate payments on every order:
- Your reservation deposit — paid to Melcore Auto Transport. This reserves your vehicle's spot on a carrier's trailer and covers the work of finding, vetting and scheduling the right carrier for your route. It is charged once your carrier is assigned, and it is the only amount we charge.
- The balance — paid directly to the carrier. Payable to the driver on delivery, by the method that carrier accepts. Melcore Auto Transport never collects, holds or refunds this amount, because it never passes through us.
This policy governs the reservation deposit only. Questions about the balance are between you and the carrier, though we will help you reach them.
Melcore Auto Transport is a licensed transportation broker: we arrange your shipment with an authorized motor carrier rather than operating the trailer ourselves, which is what lets us match your vehicle to the right equipment and route. Full details are in our Terms & Conditions.
2. When your deposit is refundable
Before a carrier is assigned — nothing is charged.
Your deposit is not taken when you book. It is charged only once we have assigned a carrier to your order. You may cancel for any reason before that point at no cost, and you do not need to give a reason. If a deposit has already been taken, it is refunded in full.
After a carrier is assigned — non-refundable.
Once we have assigned a carrier and sent you the assignment details by phone, email or SMS, the deposit is earned and is not refundable. At that point our service has been performed: the carrier is booked and your vehicle is scheduled.
If we cannot find a carrier — fully refundable.
We have five (5) business days from your first available pickup date to assign a carrier. If we cannot, you may cancel for a full refund. If we cancel your order for any reason before assigning a carrier, we refund your deposit in full automatically.
3. Situations that do not qualify for a refund
Once a carrier has been assigned, the deposit remains earned if:
- you change your mind, or arrange transport through another company;
- the vehicle is not available, not accessible, or not released at the agreed pickup;
- the vehicle's condition was described inaccurately at the time of quoting — for example a vehicle listed as running that does not start, steer or brake;
- you cannot be reached at the phone number or email you provided.
Delivery timeframes are estimates, not guarantees. Transit delays caused by weather, road conditions, mechanical failure or carrier scheduling do not make the deposit refundable, as the work of securing and scheduling your carrier has already been done.
4. How to cancel or request a refund
Cancellations must be in writing. Email info@melcoreautotransport.com with your order reference. The time your email arrives is the time of cancellation, which matters because it decides whether a carrier had been assigned — so it should be a record rather than a recollection.
You are welcome to call (737) 773-3111 first and we will help you straight away, but a phone call alone does not cancel an order — please follow it with an email so both of us have the same record.
We acknowledge every refund request within one (1) business day. Approved refunds are issued to the original payment method within five (5) business days. Depending on your bank or card issuer, it may take a further five to ten business days to appear on your statement.
5. Payment disputes and chargebacks
If you believe a charge is incorrect, please contact us first. Most disputes are a misunderstanding about which payment is which — our deposit versus the balance owed to the carrier — and we can usually resolve them the same day.
You retain every right your card issuer gives you, including the right to dispute a charge. Nothing in this policy or in our Terms & Conditions removes that right. We ask only that you speak to us first so we have the chance to put things right.
If a dispute is filed, we will respond to your card issuer with the order record: your quote, your booking confirmation, the carrier assignment details, and the dates and times each was sent to you. Where our policy shows a refund is owed, we pay it — we would rather refund you directly than argue about it through a bank.
6. Changes to this policy
We may update this policy. The version in force for your order is the one published on the date you booked. Material changes will be reflected in the effective date above.
